About the team We are seeking an extraordinarily forward-thinking, motivated, resourceful, and proactive individual with an established and proven history of high performance to join the Office of the CEO team. Reporting to: EA Lead About the role This role requires high levels of discretion, integrity, good judgment, and professionalism in dealing with senior executives inside and outside of the company. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, own and complete sophisticated tasks and projects quickly, react with appropriate urgency to situations that require a quick turnaround, and proactively solve difficult or complex problems. Exceptional organizational and communication skills, both written and verbal, are a must. Responsibilities include: xc2xb7 Provide behind-the-scenes support to top-level senior executives while maintaining high levels of discretion, professionalism, judgment, and attention to detail. xc2xb7 Develop detailed travel itineraries, including flight schedules, ground transportation, hotel accommodations, and any other necessary arrangements. xc2xb7 Coordinate with relevant parties to ensure all travel documents, visas, and permits are obtained and up-to-date. xc2xb7 Establish and maintain relationships with private jet operators, charter companies, Fixed Base Operators (FBOs), and other aviation service providers. xc2xb7 Monitor the performance and reliability of vendors, addressing any issues or concerns promptly. xc2xb7 Provide 24/7 support for executives during travel, promptly addressing any issues or changes to the itinerary. xc2xb7 Coordinate with on-the-ground contacts to ensure smooth transitions and support during the trip. xc2xb7 Handle any travel emergencies, such as delays, cancellations, or medical issues, and provide quick, effective solutions. xc2xb7 Utilize travel management software and tools to streamline booking and itinerary management processes. xc2xb7 Implement and maintain a centralized travel database for tracking travel schedules, preferences, and historical data. xc2xb7 Leverage technology to enhance communication and coordination with all stakeholders involved in travel arrangements. xc2xb7 Maintain detailed profiles of executive travel preferences, including preferred aircraft types, in-flight amenities, and dietary requirements. xc2xb7 Customize travel arrangements to meet the unique needs and preferences of each executive, ensuring a comfortable and efficient travelexperience. xc2xb7 Stay informed about the latest trends and innovations in private aviation to continuously enhance the travel experience. xc2xb7 Own and handle complex executive travel calendars and scheduling requirements. xc2xb7 Evaluate and streamline or create processes across functions and offices to ensure clear communication, efficiency, and travel operational excellence. xc2xb7 Anticipate follow-ups and proactively manage upcoming needs. xc2xb7 Support team members on special projects as needed; may be responsible for some programs independently. xc2xb7 Build internal and external partnerships and coordinate work efforts across functions. xc2xb7 Prioritize and own a multitude of requests on behalf of the Chief Executive Officer. xc2xb7 May require 10% travel annually. Who you are An established Executive Assistant with a minimum of 10+ years of experience, with at least 5 years providing support to C-Suite executives and experience providing support remotely. A highly motivated self-starter with extraordinary levels of discretion and good judgment, remarkable performance standards, strong attention to detail, and initiative to take action and get things done. Qualifications and Skills: xc2xb7 Able to successfully navigate a tech-first, async and distributed work environment. xc2xb7 Experience having direct responsibility for complex executive calendaring and travel xc2xb7 Experienced at leveraging various programs and applications to effectively provide support remotely. xc2xb7 Flexibility to work in-office as needed, sometimes on short notice. xc2xb7 Professional with a high degree of subtlety, tact, and judgment. xc2xb7 Able to use sound judgment and discretion when handling highly confidential and proprietary materials. xc2xb7 Excellent influencing, negotiating, communication, and organization skills. xc2xb7 Ability to think and plan proactively, delegate responsibilities appropriately, and manage time effectively. xc2xb7 Ability to multitask, anticipate needs, continually shift priorities on a momentxe2x80x99s notice, and balance competing priorities. xc2xb7 Ability to work independently. xc2xb7 Comfortable in a team-of-EAs environment and reporting to and taking direction from an EA lead. xc2xb7 Strives to exceed expectations with a customer-focus attitude. xc2xb7 Enjoys problem-solving, working collaboratively with others and building effective working relationships. xc2xb7 Ability to accept accountability for outcomes and results, and to seek/act upon constructive feedback. xc2xb7 Proficient with technology including Microsoft Office suite applications (Outlook, Word, Excel, PowerPoint, etc); Google Suite applications (Sheets, Docs, Slides, etc.); Zoom, iPhone, Slack, etc. xc2xb7 Experience working in the technology sector preferred.
