TMR Investments xe2x80x93 Office Manager and Executive Assistant Job Description The Office Manager is responsible for organizing and coordinating administrative procedures to ensure the office operates with optimal efficiency, including executive assistant support for TMR principals. In addition to administrative duties, TMR relies on the Office Manager to support the staff project coordination on a variety of initiatives and goals. The Office Manager is an energetic professional experienced in handling a wide range of duties while working independently with minimal supervision. Responsibilities Email Management for multiple partners including reading, responding, prioritizing, and elevating as necessary Calendar Management, including scheduling meetings, coordinating meeting rooms/restaurants/offsite locations, setting up and testing equipment such as video conferencing, projectors, etc. Provide detailed instructions, agendas, and/or directions to meeting attendees. Travel coordination and booking of air, hotel, car service, out of town restaurants, and meeting or activity space with a keen eye on balancing quality with budget while taking into consideration individual preferences. Ensure travel details are well documented and easily accessible by partners while traveling. Manage daily operations of the office including ordering/maintaining office supplies, troubleshooting problems with AV; maintain staff kitchen and snack closet, coordinating mail, packages, and deliveries Manage vendor relationships (i.e. telephone, cable, couriers, suppliers, IT services), keeping an eye on delivering on contract and upcoming contract renewal dates Maintain paper and digital files of all contracts and other necessary documents Coordinate projects on a variety of initiatives and goals, maintaining deadlines and providing detailed notes. This may include organizing data, proofing documents, organizing budgets and reconciling receipts. Support asset management team as needed with event coordination, purchasing and sending gifts, ordering furniture and supplies for properties, on-site meeting coordination with lenders and other professionals Review marketing materials and website for all properties quarterly. Coordinate staff appreciation initiatives including monthly lunches and quarterly engagement experiences Manage TMR website including content updates, fresh photos, links, and special projects as necessary. Maintain design sample closet Process expense reports for multiple partners. Work with controller to administer changes in Concur system Work with Chief of Staff to coordinate employee relations deliverables including onboard and offboard of staff Qualifications Superior writing and verbal communication skills Highly proficient in Microsoft Suite (Word, Excel, PowerPoint, Outlook) Experience with Adobe products, Canva, Dropbox, WordPress preferred Very organized and detail oriented; professional presentation Motivated, self-starter able to multitask; able to quickly shift priorities as needed; resourceful problem solver A team player, collaborative, excels working with others Trustworthy; able to work with and retain highly confidential information Sense of humor Experience & Education 2 years administrative experience High School Diploma TMR Culture Act With Intention Be True Do It Better Celebrate The Good Job Type: Full-time Benefits: 401(k) Dental insurance Health insurance Paid time off Parental leave Professional development assistance Vision insurance Schedule: 8 hour shift Monday to Friday Supplemental pay types: Bonus opportunities Ability to Commute: Seattle, WA 98102 (Required) Work Location: In person
