Treatment Coordinator- Orthodontic Office

Summary of Position:: Responsible for providing detailed treatment plans and treatment costs to all new patients. This position provides the highest quality of care possible, assuring that patients are treated professionally, with respect, kindness, and understanding. Areas of responsibility include, but are not limited to: xc2xb7 New Patient Process xc2xb7 Practice Promotions xc2xb7 Patient Financial Presentation xc2xb7 Recall and Will Call Back Processes RESPONSIBILITIES GENERAL & ADMINISTRATIVE 1. Always display a pleasant and professional appearance and personality. 2. Meet with the Bliss Advisor and Doctor to review new patient activity, challenges, and innovative ideas to support new patient growth. 3. Accurately complete and enter all necessary and appropriate appointment, patient, and treatment information in the practice management system. 4. Place confirmation calls to all new patients one day before their appointment. 5. Ensure the continued functioning of all office equipment in consult room(s). 6. Assist in maintaining inventory for the business office and order appropriately. 7. Assist in maintaining the clinical supply inventory and order appropriately. 8. Scan documents into the practice management system, as required. 9. Help maintain the cleanliness of all areas of the office. 10. Be an active participant in daily huddles and team meetings. 11. Consistently demonstrate teamwork and assist in other areas whenever available. 12. Perform end-of-day tasks and retrieve all new patient lead messages. NEW PATIENT PROCESS 1. Provide a productive and well-served new patient experience. (i.e. If a new patient cancels their scheduled appointment, attempt to replace them with a new patient scheduled from another day.) 2. Responsible for confirmation calls of all new patient appointments. 3. Ensure all new patient preparation is complete, including verification of insurance benefits. 4. Monitor the arrival of all new patients. Greet and welcome them in a friendly, professional manner. 5. Always treat patients with genuine care and concern. Please do not leave them unattended for any length of time. 6. Responsible for reviewing the patient health history form with the patient/parent before starting treatment. 7. Ask the patient what their main concern is and prepare them for what to expect during the exam to make them feel comfortable. 8. Review the patientxe2x80x99s concerns with the doctor before the new patient exam. 9. Document the doctorxe2x80x99s diagnosis and treatment plan during the exam. 10. Review treatment plan with the patient/parent and explain appliance options. 11. Present treatment cost and payment options with patient/parent. 12. Accurately complete all necessary and appropriate documentation and charting of the patientxe2x80x99s visit. 13. Discuss any pertinent information with the patient/parent at the end of the exam, before starting treatment. 14. Communicate instructions to patients clearly and effectively. Provide a demonstration when necessary. 15. Schedule future patient appointments once contract documentation is complete. 16. Keep patient visits on time to allow the day to run on schedule. 17. Send any follow-up correspondence to the patient/parent. 18. Send correspondence to the dentist, oral surgeon, etc., when required. 19. Follow-up with all new patients who were prescribed treatment and did not start the same day. 20. Schedule and follow-up with all Recall or Observation patients. PRACTICE PROMOTION 1. Continually promote the Orthodontist and practice on an ongoing basis. 2. Implement approaches to attract a constant flow of new patients and maximize referrals. 3. Actively participate in marketing initiatives to continue promoting the health and growth of the practice. 4. Promote online reviews as well as patient and provider referrals. ANCILLARY DUTIES 1. Prepare room and instruments for consults. 2. Follow all HIPAA/OSHA guidelines as documented in the HIPAA/OSHA manual. SKILLS / ABILITIES 1. Strong communication skills, both written and verbal. 2. Customer service-oriented and desire to enhance the patient experience. 3. Developed interpersonal skills to maintain an effective rapport with patients, doctors, and other team members. 4. Effective conflict resolution, problem identification, problem resolution, and decision-making skills. 5. Ability to work with basic mathematical concepts. 6. Ability to interpret various instructions provided in written, oral, diagram, or schedule formats. 7. Clear speech and pleasant telephone demeanor. 8. Organization skills, ability to prioritize tasks, and remain calm under pressure. QUALIFICATIONS/REQUIREMENTS High school diploma, plus 1 to 3 years of related work experience or an equivalent combination of education and experience. Dental experience and a strong understanding of practice software programs are a plus. This job description is only a summary of the position.
